What problems does a CRM solve for a recycling company?

A recycling CRM closes the gap between the field and the office. Weighings and routes happen in one place, invoices and reports in another, and the discrepancies only show up at month end.

Weighings copied by hand

The scale ticket gets copied into Excel, then into the invoice, then into the records. Every copy is another chance for a wrong number.

Routes coordinated by phone

Scheduled pickups and on-demand orders are coordinated through calls. When a driver is out, nobody sees the full route.

Waste codes applied inconsistently

The same waste stream shows up under different LER codes (codes from the European List of Waste) for different customers, and at reporting time the quantities no longer add up by code.

Reports done in a rush

Waste management records and the reports environmental authorities require get pulled together at the deadline, from different sources.

Tenants with no records of their own

In a mall or office park, every tenant produces different waste. Without data by tenant, costs get split based on estimates.

What modules does waste management software include?

Waste management software built with CustomCRM has modules for collection points, contracts, routes, weighings, LER codes and records. It also comes with the invoicing, contract management and integration with SPV, the online portal of ANAF (Romania’s tax authority), included in every CustomCRM. You pick modules based on your role: collector, recycler or building manager.

Customers and collection points

A customer can have several sites, each with its own address, containers, waste streams and contact person, plus a pickup history.

Collection contracts

The contract sets the waste streams, LER codes, pickup frequency and billing method. Annexes and amendments are generated from templates, with an alert before expiry.

Routes and scheduled pickups

Recurring pickups are generated from the contract, and on-demand ones are added when the customer calls. The dispatcher assigns them to vehicles and drivers. For your own fleet, see also CRM for fleet management.

Weighings linked to customers automatically

Weight is entered from a phone or pulled from connected scales and IoT sensors, at the sorting facility or on containers. Every weighing links to a customer, a collection point and a waste code.

LER codes and sorting

Codes from the European List of Waste are defined once and applied to waste streams, across all customers. After sorting, quantities by fraction are recorded under the matching codes.

Records, forms and reports

Your waste management records fill in from daily weighings, and loading and unloading forms are generated pre-filled.

  • Reports by LER code, customer and period
  • Export for reporting to authorities

Tenant access

In malls and office parks, tenants log the waste they hand over, and the building manager sees totals by tenant and by building.

Billing by quantity or subscription, and e-Factura

Invoices are generated from weighings, from pickups or as a recurring subscription, based on the contract rule. They go to ANAF’s SPV automatically through e-Factura (Romania’s national e-invoicing system), and overdue accounts get payment reminders.

e-Transport

For shipments subject to e-Transport (Romania’s road freight monitoring system), the declaration and the UIT code (the unique transport ID) can be generated from the scheduled pickup, with the data already filled in.

Included in every CustomCRM

  • InvoicingInvoices, pro formas and recurring invoices, payments, due dates and reminders.
  • ContractsContracts, annexes and amendments generated from templates, with expiry alerts.

What does a pickup look like in CustomCRM, from contract to payment?

In CustomCRM, a pickup starts from the contract, goes through the route and the scale, and ends with the invoice and a line in your records, with no data retyped between steps.

The contract sets the rules

Waste streams, LER codes, frequency and rates are set in the contract and generate the recurring pickups.

The dispatcher plans the route

The day’s pickups, including on-demand orders, are assigned to vehicles.

Pickup and weighing

The driver confirms the pickup from a phone. Weight comes from the scale or sensor, or is entered by hand with a photo of the ticket.

Documents fill themselves in

The loading and unloading form and, where needed, the e-Transport declaration pull in the pickup data.

Invoice and records

At the end of the period, the invoice goes to SPV, and the quantities are already in your waste management records.

Which other industries does CustomCRM have CRM versions for?

CustomCRM also has CRM versions for marketing agencies, service companies, law firms, gyms and spas, construction, fleet management, real estate, consulting and education. For any other field, CustomCRM builds tailor-made software.

CustomCRM for recycling and waste management

  • What it is: CustomCRM for recycling is a CRM and waste management software for collection and recycling companies and for mall or office park managers. It links customers, weighings and LER codes (European Waste Catalogue, or EWC, codes) to invoicing and reporting.
  • Key benefits:
    • Every weighing goes to the right customer and waste code
    • Your waste management records fill in from daily data
    • Billing by quantity or subscription runs on the same data
  • Who it is for: waste collection companies, recycling operators, sorting facilities, shopping center managers, office park managers, environmental compliance officers
  • What sets it apart: Weighing data is entered once, from a phone or from connected scales and sensors. At the same time, it feeds the invoice, the records by LER code, the loading and unloading forms and the reports for environmental authorities.
  • Quick verdict: CustomCRM is the right fit for collection and recycling companies and for building managers who track waste across many customers or tenants. In practice, at the end of each reporting period your quantities by waste code and by customer are already totaled, and your invoices match what was weighed.

How does CustomCRM help with reporting to environmental authorities?

CustomCRM helps with reporting because data is recorded as you go, not gathered at the deadline: every weighing already has the date, the customer, the LER code and the operator who recorded it.

From this data you prepare your waste management records by period and the reports for customers or tenants, in the format set up during implementation for your company’s obligations. CustomCRM doesn’t replace your environmental officer, but it gives them clean, traceable data.

How is a recycling CRM different from Excel or a generic CRM?

A recycling CRM works with tons, LER codes and collection points. A generic CRM only knows customers and deals, and in Excel the same weighing gets copied several times.

ProcessExcel or generic CRMCustomCRM
WeighingsCopied from scale tickets into spreadsheetsCaptured from phone, scale or sensor, linked to the customer
Waste codesTyped freely, different from file to fileLER code list defined once, applied to waste streams
InvoicingCalculated by hand at month endBy quantity or subscription, per the contract rule
Waste management recordsRebuilt at the deadlineFilled in as you go, from every weighing
Tenants in malls or officesQuantities estimated per tenantEach tenant logs its own waste
Transport formsFilled in by handGenerated pre-filled from the pickup

What does waste management software integrate with?

CustomCRM can integrate with scales and IoT sensors that transmit weight, with ANAF’s SPV for e-Factura and e-Transport, and with your accounting software. For equipment, we check during the consultation what data it sends and how to connect it.

Drivers and operators work in a phone or tablet browser, with no app to install, and your team learns the platform in 1-2 hours of training. Uploading the same data to several portals can be handled by RPA automation, and inventory of recyclable materials can be managed with a custom ERP.

  • Scales and IoT weight sensors
  • ANAF SPV: e-Factura and e-Transport
  • Accounting software (for example SmartBill, Oblio, Saga)
  • Bank statements
  • Email (Gmail, Outlook)
  • API for any other system

Frequently asked questions about CRM for recycling and waste

How much does waste management software built with CustomCRM cost?

The price depends on the modules you choose and on usage, not on the number of users. Drivers, dispatchers and sorting operators can have access at no extra per-user cost. A mall manager needs different modules than a collector with its own fleet, so the quote comes after the free consultation.

Do waste collection invoices go to ANAF’s SPV automatically?

Yes, invoices by quantity or subscription issued from CustomCRM go to ANAF’s SPV automatically, and you see the e-Factura status on every customer. Supplier invoices are pulled in automatically. The platform can also integrate with your accounting software, such as SmartBill, Oblio or Saga, so nobody enters the same data twice.

Can I move my customers and weighing history from Excel?

Yes, you can import customers, collection points, contracts and weighing history from Excel or from the software you use now. During import, waste codes are standardized on the European List of Waste, so you can use your history for reporting. We review the file structure together before the move.

How long does it take to implement waste management software?

It depends on the modules, the number of collection points and the weighing equipment we connect, so we set the timeline during the consultation. We deliver in stages: you usually start with customers, contracts and weighings, then add routes, reporting and tenant access.

Why isn’t a generic CRM enough for a recycling company?

A generic CRM doesn’t know what an LER code, a weighing or a loading and unloading form is, so you’d keep that data on the side, still in Excel. CustomCRM starts from a foundation built for waste and adapts to your waste streams, just like our other industry CRMs.

Can I use CustomCRM as a mall or office park manager?

Yes, shopping center and office park managers can use the same modules, set up for tenants instead of customers. Each tenant logs the waste it hands over, weighings link to that tenant, and you get building totals for reporting and for recharging costs, if the lease provides for it.
